Your proposals are among the most sensitive documents your company writes. This page explains exactly how they are handled.
1.What this policy covers
This policy explains how we handle information when you visit this website, create an account, and use the service to import RFPs, build an Answer Library, draft answers and manage reviews.
It separates two kinds of data: account and website data that we control, and proposal content that you upload and control.
2.Information we collect
- Account details: name, work email, company, job title and plan.
- Proposal content: RFPs, tenders, questionnaires, past proposals, policies, rate cards, answers, comments and approvals you add to your workspace.
- Usage data: pages visited, features used, browser type and approximate location derived from IP address.
- Form submissions: details you enter in the signup and Strategy Room forms.
3.How proposal content is used
Proposal content is processed only to provide the service to your workspace: extracting questions, drafting answers, mapping requirements, building price sheets and producing analytics such as the Win Rate Lab.
Your proposal content is never used to train AI models for other customers, never shared across workspaces, and never sold.
AI drafts are generated only from documents and answers in your own workspace. Every draft shows its source and must be approved by a person in your team.
4.How account data is used
- To create your account and send login credentials.
- To provide support and respond to Strategy Room requests.
- To send service notices such as review reminders, deadline alerts and billing messages.
- To improve the website and product based on aggregated usage patterns.
5.Security
Proposal content is encrypted in transit and at rest. Access is controlled per workspace and per project, with role-based permissions for editors, reviewers and administrators.
Commercial data such as rate cards and price sheets can be restricted to named users. Administrative access by our staff is limited, logged and used only for support you request or for keeping the service secure.
6.Sub-processors
We use carefully selected providers for cloud hosting, email delivery and payment processing. They process data only on our instructions and under written agreements that require equivalent protection.
7.Retention and deletion
Proposal content stays in your workspace until you delete it or close the workspace. Workspace administrators can export the Answer Library and bid records at any time.
After a workspace is closed, its content is deleted from active systems within 30 days and from backups within 90 days.
8.Your rights
Depending on where you are located, you may have the right to access, correct, export or delete your personal data, and to object to certain processing. Requests can be made through the Strategy Room and are answered within 30 days.
10.Changes to this policy
When this policy changes in a way that affects how proposal content is handled, workspace administrators are notified by email before the change takes effect.
